BOOKING AND PAYMENTS
In order to confirm your place on a tour you will need to return a completed booking form with a deposit of €200 per person. On receipt of your deposit, we will send you confirmation of your booking along with details for the payment of the balance. The booking will not be accepted and no contract raised until the deposit is received.
The balance is due 8 weeks prior to the departure date. If you are booking within the 8 weeks of the tour start date, then full payment is required at time of booking. If the balance is not paid by the due date, Mongolian Spiritual Tours will treat the booking as cancelled and apply the cancellation charges as detailed below. The Company will not accept responsibility for any monies sent by post. Payment can be made by bank transfer.
A €100 service charge will be assessed on cancellations received at least sixty days prior to departure. Otherwise the deposit is non-refundable unless credited towards another trip departing within one year. If you cancel your booking after you have paid in full the following cancellation charges will be made:
between 43 and 59 days before departure:……..20% of the tour cost
between 29 and 42 days before departure:……..25% of the tour cost
between 15 and 28 days before departure:…….. 30% of the tour cost
14 days or less before departure (or fail to join the tour): 50% of the tour cost
Minimum charge for cancellation is your deposit of €200.
These dates refer to the date we receive written notification of your cancellation. We strongly recommend you protect yourself by purchasing travel insurance. We have very rarely had to cancel a tour but reserve the right to do so for any reason. If the tour is cancelled by us, all payments will be returned in full.
Scheduled tour prices are based on minimum of 4 people. If there aren’t enough people, we will be able to run these tours privately with an extra cost of €100-300 per person depending on number of people and departures. There must be a minimum number of 2 people for these private tours. The hotel charges in tours are based on twin room. Single room supplement is available upon your request. All extra charges and optional activities not mentioned in the tour itinerary must be paid by you.
PASSPORTS AND VISAS
Clients must ensure that they are aware of all relevant passport and visa requirements and that they allow adequate time to obtain them. You can obtain visas from the Mongolian embassy or consulate in your country using our tour confirmation letter after the booking deposit is received. If there is no Mongolian embassy or consulate in your country, one month-long visas can be obtained on the spot once you arrive at the airport or railway station in Ulaanbaatar. At Mongolian Spiritual Tours we believe that your safety and enjoyment are the most important things. Comprehensive travel insurance is essential, therefore, whenever you travel abroad. We recommend you that you should arrange own travel insurance.
Your booking is accepted on the understanding that you realize the inherent risks and hazards of the tours and agree to take responsibility for your actions and safety.
On the tours it is necessary that you agree to abide by the authority of the tour guide who will be working to ensure the safety and welfare of the group. Any action that jeopardizes this may result in you being asked to leave the tour with no right to a refund or any compensation.
Special requests and any medical issues or conditions must be brought to our attention at the time of booking. We cannot be held liable for any actions or events that could have been avoided with proper disclosure of information.
Personal property is always your own responsibility, as is ensuring that you have all the appropriate passport and visa requirements for the duration of the tour.
Smoking is not permitted in any vehicle.
Mongolian Spiritual Tours’ responsibility only starts at the designated meeting point and time i.e. when you meet the tour guide in Ulaanbaatar, capital city of Mongolia. We cannot be held liable for any expense or inconvenience before that, or as a result of you failing to join the tour at that time.
We are not responsible for any terrorist attacks, political unrest, war, earthquakes, landslides, cancellations or delays of airlines and train companies.
ITINERARIES AND TOUR DETAILS
The itineraries should be taken as an indication of what each group should complete and not as a contractual obligation. The nature of the tour requires a flexible approach to the stated itinerary and all participants should accept this flexibility and acknowledge that delays and alterations and their results (such as inconvenience or disappointment) are possible.
No refund or compensation will be given for any unused transport, accommodation, services or features of the tour.
All details are accurate at time of going to press and any significant alterations will be brought to your attention at time of booking.
Any problems or complaints about the tour should be raised with the tour guide at the earliest opportunity and they will normally be rectified or appropriate action taken.
All terms and conditions are made subject to, and enforced by, Mongolian law and must be done so in a Mongolian court. If you require further action on return we will try and work towards an agreed settlement but you must notify us in writing within 21 days of the completion date of the tour.
Set out below are the terms and conditions of the booking agreement. Please read them carefully. When we receive a completed booking form, you (and any other person on whose behalf you book) agree to accept all of these conditions.

- Receive our confirmation and invitation letter
We will submit confirmation of your successful booking as soon as possible.
OUR LIABILITY TO YOU
We are responsible for ensuring that your travel arrangements are supplied as agreed before the booking. We take responsibility for the services that we provide as well as the services of our subcontractors. Exemptions are airlines accidents or delays, loss of luggage, or medical and customs regulation, for which we cannot take responsibility. Our liability is limited to the total cost of your travel arrangements. We are also responsible for identifying any foreseeable risks associated with your holiday. Adventure travel, by its very nature, may carry greater risks than other holidays. We will do what we can to alert you and your companions to such risks and take steps wherever possible to ameliorate against them.
3. IF WE CHANGE OR CANCEL YOUR HOLIDAY
In the unlikely case that we have to make changes to your travel arrangements, we will notify you or your travel agent at the earliest possible date. We do reserve the right to make changes at any time due to circumstances, which lie beyond our control. In the case of significant changes to your itinerary, you have the right to cancel your holiday and be fully refunded. If the changes increase the cost of your holiday, we will notify you and invoice after your acceptance of the difference in price. If the changes decrease the cost of your holiday we will also inform you and reimburse you the difference. No refund will be made to a participant, who is rejected by our trek leader for any of the reasons, set out below in Participation section (below), or who is unwilling or unable to complete the tour.
THE EFFECT OF PRICE INCREASES
The prices quoted on our website are correct at the time of publication. We reserve the right to change any of the prices, services or other particulars contained on our homepage at any time before we enter into a contract with you. If there is any change, we will notify you before we enter into such contract, and seek your prior agreement to the changes.
YOUR COMMITMENT TO US
If you have chosen to travel by Mongolian Spiritual Tours, you must pay the deposit at the time of reservation and must pay the outstanding balance at least 45 days prior to the departure date of your trip.
If you register within 30 days of departure, the full cost should be paid at the time of registration.
You and your companions will need to be in suitable physical condition to undertake the expedition as set out in your chosen itinerary and become fully aware of the possible risks inherent in adventure travel. You are responsible to paying for or providing for your own personal equipment, tips, airport taxes, the cost of visas, vaccination, additional food and drink, personal spending money, travel insurance, and any other activities or provisions not included in the itinerary. For the protection of all participants, our Trek Leader reserves the right to prevent anyone from taking part in the tour, or any part of it, where that person clearly displays insufficient ability or whose behaviour potentially endangers the health and/or safety of other participants.
Prior to the arrival MONGOLIAN SPIRITUAL TOURS will provide you with:
1. Visa support and general information about passport and visa requirements.
If you have any medical conditions or special dietary needs you are responsible for informing us well in advance of your intended arrival. You must ensure that your travel documents, full passport, and visas are in order and will remain valid for the entire length of your stay in Mongolia. We are able to give general advice on these matters but such requirements are subject to change and we cannot be held responsible if you do not check current requirements before your departure.
IF YOU CHANGE YOUR HOLIDAY
If you wish to change your travel arrangements in any way, after our confirmation invoice has been issued, for example, you choose a different departure date or change the hotel, we will do our best to accommodate these changes, but this may not always be possible. Please inform us about possible changes as early as possible. Any request to change your travel arrangements must be made in writing by the person who made the booking. If the cost of the trip which you had booked originally is higher than the cost of the new arrangement, the difference will be regulated according to our Cancellation Policy (see above). If the cost of the amended or new itinerary is higher than the original one, then the extra cost of the new travel arrangement will be invoiced.
IF YOU HAVE ANY COMPLAINT
If you have a complaint arising out of what we have agreed to provide for you please let us know at the earliest opportunity. If a problem arises during your trip, it is important that you advise the Tour Guide, Leader and the suppliers in the first instance who will endeavour to put things right. If your complaint cannot be solved locally you should advise us within 14 days of returning to your home country, in writing, with all other relevant information. Your letter will be given prompt attention. If you fail to follow this simple procedure we cannot accept responsibility, as we would have been deprived of the opportunity to investigate the matter and hopefully rectify any problem.
It is essential that all passengers are fully covered with reputable travel insurance cover before setting out on holiday. Insurance must cover personal accident, medical expenses, loss of effects, repatriation costs and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience.
PAYMENT POLICY AND SCHEDULE
THE PAYMENT SCHEDULE AS FOLLOWS:
- Deposit payment of 200 euros per person must be paid to confirm your booking
- Final payment must be paid 30 days prior to departure
- Balance of Payment:
We will send an invoice for the final payment approximately 45 days before the trip commences.
Payment in full is due 30 days before the trip.
We reserve the right to cancel any reservation for which the full payment has not been received 30 days before the trip begins.

Once we have started to provide our service from the point of your arrival in Mongolia, no refunds will be made for unused trip arrangements for any reason. There will be no refund given for unused hotel rooms, meals, sightseeing, trek days or any other charges once the trip has commenced. The cost is quoted as a package price and credits are not given for services not used.
